Dubai live music planning

hotel performer technical requirements

1. Define the guest experience

Record the purpose of the booking before choosing performers. Give suppliers enough context to recommend a suitable format instead of sending a generic roster.

Outlet and occasion

Write down the property, outlet, Dubai area, indoor or outdoor setting and occasion. State whether the booking is for lobby ambience, a restaurant service, brunch, pool session, gala or seasonal event, and whether it repeats.

Audience and repertoire

Include expected guest numbers, languages, audience mix, brand tone and music references. Separate essential requirements from preferences. Note unsuitable repertoire, requested dress code and the amount of audience interaction that fits the space.

Success criteria

Agree what the team will review: fit with service, punctuality, guest feedback, sound levels and delivery of the planned sets. If tracking reservations or outlet spend, record a comparable baseline and the other factors that might influence results.

2. Confirm schedule and technical ownership

Have the outlet and production teams review practical constraints before a shortlist becomes a confirmed booking. A suitable performer still needs a workable setup.

Timing and access

List dates, arrival, loading access, soundcheck, guest arrival, set lengths, breaks, finish and pack-down. Identify a day-of-event contact and who can authorise changes or overtime. For residencies, include the full date range and blackout dates.

Sound and equipment

Confirm the performance footprint, power, PA, microphones, inputs, monitoring, instruments and DJ setup. Assign an owner to each item and the soundcheck. Ask the venue team to supply its actual operating limits and requirements rather than assuming a generic sound level.

Approvals and contingencies

Ask the venue's responsible team which approvals and documentation it requires for the proposed performance. Establish who checks them and when. For outdoor events, agree weather decisions, equipment protection and an alternative plan with the venue and production supplier.

3. Compare proposals and confirm the scope

Use a written comparison so creative fit, cost and operational responsibility receive equal attention. Keep the approved scope accessible to the booking and outlet teams.

Reels and lineup

Review relevant live footage, repertoire, lineup size and experience with a similar setting. Confirm who is actually proposed for your date. Ask how changes to the lineup will be communicated and approved; promotional footage alone does not reserve a performer.

Quote and procurement

Request an itemised quote in AED specifying performer fees, duration, equipment, engineer, transport, taxes where applicable and overtime. Provide required supplier onboarding, contract, invoice and LPO details. Agree payment milestones and cancellation terms in writing.

Final handover

Confirm the selected act, arrival instructions, production contact, run of show and escalation path. Document any agreed substitution process and content permissions for filming. After the booking, collect factual feedback and update the next brief with what worked.

Common Questions

Frequently asked questions

Quick answers about booking, shortlists, contracts and venue coordination through Featuredline.

What should a Dubai hotel entertainment brief include?

Include the property and outlet, event format, dates, audience, music direction, budget in AED, set times, equipment, sound limits, access, procurement requirements and a decision-making contact.

Can I use this checklist for several hotel outlets?

Yes. Prepare a separate schedule and technical scope for each outlet, then state any shared procurement requirements. Do not assume one room's volume, equipment or performer format will suit every space.

Does an entertainment quote include all production?

Only items listed in the quote are included. Check sound, microphones, instruments, DJ equipment, engineer, transport, setup and overtime so the venue and supplier agree who provides each element.

Can hotels use LPO or bank transfer workflows?

Featuredline supports professional booking workflows including LPO or bank transfer where applicable. Share your procurement process and agree the payment terms before confirming the booking.

Does submitting a brief confirm the artist?

No. A brief starts the shortlisting process. Artist availability, the final scope, quote and booking terms must be agreed before confirmation.
